EM Part Time Church Office Administrator

English/Youth/Childrens’ Administrator Assistant

 

Purpose: 

The English/Youth/Children Admin Asst. facilitates the mission of God through CBCGB by providing administrative support to the related English/Youth/Children’s Pastoral staff.  This position is both a paid staff position and a ministry in its own right.  

 

Qualifications: 

As a member of the staff and a ministry leader, the administrative assistant is to be a born-again Christian, in an active relationship with Jesus Christ, and a member in good standing with CBCGB (membership highly desirable, but not mandatory.  In lieu of membership, a confidentiality agreement may need to be signed).  He/She should be a U.S. citizen or permanent resident.  Other job-specific qualifications include:

  • computer literacy (including MS Office)
  • fluent in English speaking/writing.  Ability to understand/speak Mandarin helpful but not required. 
  • prior experience with administrative office work
  • able and available to drive as needed in the course of job-related duties
  • able to perform light labor such as lifting office supplies. 

Supervision: 

This position reports primarily to the English Pastor, and ultimately to the Senior Pastor. 

 

Hours: 

The hours for this approximately 30-hour a week position will be determined through discussion between the employee and the English Pastor, with approval from the Senior Pastor.  Some weekend hours may be required during special events.  Additional compensation will be given for weekend hours that exceed normal work hours. 

  

Job Responsibilities:   

Administrative duties as listed but not limited to the following;

 

Children's Ministry Specific Duties: (approximately 11 hours/week) 

1)      Keep attendance records for all children’s activities.  Print and update attendance sheets. 

2)      Keep current database of children’s information.    

3)      Maintain database of children ministry workers.

4)      Update Children’s ministry website with announcements/ events as needed. 

5)      Keep records of Mustard Seed and Sunday School curriculum used.  Distribute accompanying Bible verses to respective teachers. 

6)      Keep track of children’s’ ministry budget.

  

Youth Ministry Specific Needs (approximately9 hours/week) 

1)      Record Sunday School attendance and visitor names.

2)      Ensure Sunday School supply room is adequately stocked.  Order supplies as needed

3)      Keep records of youth  retreat registrations

4)      Assist with youth retreat preparations

5)      Maintain database of student information and profile pictures.

6)      Update youth ministry website with announcements/events as needed.

7)      Sort/digitize sermon notes, lessons, Pastor Sandy’s binders

8)       Send out weekly emails.  weekly 30 minutes

9)       Archive/organize books, resources, games. 

10)   Ensure sure youth rooms are set up for activities

11)   Test a/v equipment as needed to ensure functionality.    

 

English Ministry Specific Needs (approximately 8 hours/week) 

1)      Gather data to prepare EM bulletin each week.  

2)      Prepare  weekly prayer list for bulletin

3)      Maintain EM worship roster.  Email out reminder of weekly duties for worship.

4)      Receive new visitor cards.  Email out information to corresponding ministry leaders

5)      Assist with fellowship needs (e.g. retreat preparation, fellowship handouts, etc.)

6)      Update EM offering and attendance worksheets.

7)      Perform admin work related to baptism/membership candidates (e.g. collect applications, prepare certificates, coordinate candidate interviews, etc.).

8)      Maintain membership database for EM.

9)       Ensure rooms are properly set up and supplies stocked for Friday night fellowships. 

  

Church-wide Need:  (approximately 2 hours/week only at the beginning of the school year) 

       1)  Data entry and maintaining Coworker CORI checks (criminal background checks for all youth and children ministry workers).  All ministry coworkers must pass a CORI check before serving, and be updated every 3 years). 

      2)  Maintain office supplies for EM/Youth/Children’s ministries
